Position Overview:
The primary purpose of the Legal Department Coordinator position is to provide comprehensive support to the legal team, ensuring the smooth operation of the department through effective management of processes, financial tracking, intellectual property support, and project coordination. This role is pivotal in maintaining responsive relationships and a productive work environment.
Essential Responsible Areas:
The legal department coordinator provides essential support to the director of legal operations, VP, associate general counsel (NCA) and broader legal team within the corporate legal department. This role is accountable for managing the process for external spend and assisting with monthly reporting and tracking spend against the department budget. This role is also accountable to support the intellectual property process and technology. Finally, this role will participate in and often lead a variety of projects and process optimization efforts, often acting as a representative for the department with other internal and external parties. Throughout, this role must maintain close and highly responsive relationships in and outside the department, interact appropriately with various stakeholders, and maintain a positive and productive work environment to ensure success.
Department Financials
- Manage the process for all external spend including requisitions, purchase orders, invoice processing and coordination with procurement and suppliers.
 - Track and coordinate contract renewals
 - Track spend actuals against operating budgets and provide support for the quarterly reforecasting process to ensure budget alignment
 - Work with external firms for input into the annual operating plan
 - Responsible for budgetary data entry during the planning period of annual operating plan
 - Coordinate department-wide planning meetings for annual operating plan
 
Intellectual Property
- Primary case manager admin in Anaqua (AQX) for global patents
- Verify submissions
 - Complete assigned tasks
 - Track case status and progress
 - Maintain accurate records
 - Facilitate communication
 - Generate reports
 
 - Develop relationships and work closely with counterparts at external firms who manage IP
 - Collaborate closely with R&D manager on patent management using AQX
 - Coordinate global patent award program
 - Coordinate and respond to unsolicited submissions from outside inventors
 - Coordinate, track and document patent annuity (renewal) decisions, ensuring timely follow up and clear instruction
 - Track and coordinate trademark related deadlines to ensure timely responses
 - Facilitate securing Apostilles as required to support/document legalization and international use
 
Project Coordination and Program Coordination
- Coordinate and support operationalization of Enterprise Risk Management Program
 - Lead and/or execute projects related to department technology and operations, as needed; Research, analyze and prepare ad-hoc analyses/reports for department projects
 - Acts as a department representative when needed for general business activities (e.g., security, facilities, mail services, IT, emergency services)
 - Lead onboarding process for new hires in the department, including coordination of remote working setup, if necessary
 - Support compliance program operations as needed
 
Administrative Support
- Schedule appointments, monitor changes, and cancellations. Maintain and update VP (NCA) and director legal ops calendars
 - Originate travel, ground transportation, and accommodation reservations, and act as a contact point/liaison when needed
 - Plan and coordinate department functions, including social events, including the arrangement of food services.
 - Create and submit travel and expense reports for VP (NCA) director legal ops, and other legal leaders, as needed
 - Responds to queries or requests from other departments or external sources
 - Assist and coordinate for VP (NCA) bar registrations and annual CLE’s
 - Respond in department leaders absence to refer requests for action or information to the appropriate staff member if needed, and determine whether leaders should be notified of important or emergency matters
 - Primary contact for mailroom, incoming and outgoing
 
What we are looking for:
- Education: Minimum of a high school diploma or equivalent.
 - Experience: Minimum of 3-5 years in a corporate setting.
 - Technology Proficiency: Proficiency with various Saas and Cloud based platforms including Microsoft 365 (Excel, PowerPoint, Word, Outlook, OneNote, Teams, CoPilot, OneDrive). Experience with Anaqua, Coupa, Concur and ServiceNow preferred.
 - Organizational Skills: The ability to manage multiple tasks and projects simultaneously, ensuring that deadlines are met and processes are followed efficiently.
 - Communication Skills: Strong verbal and written communication skills to interact effectively with internal team members, external suppliers, and various stakeholders.
 - Analytical Skills: The capability to analyze financial data, track budgets, and provide input into forecasting processes, ensuring accurate financial management.
 - Attention to Detail: A keen eye for detail to ensure accuracy in tracking spend, managing intellectual property processes, and coordinating deadlines and projects.
 - Problem-Solving Skills: The ability to identify issues, coordinate with relevant stakeholders, and provide clear instructions to resolve problems efficiently.
 - Adaptability: The capacity to handle a diverse set of responsibilities and adapt to changing priorities and tasks.

Compensation & Benefits:
- Hybrid On-Site Work Environment: Based in Colorado, this position requires regular in-person engagement by working on-site for three (3) or more days per work week (with core collaboration days of Tuesday, Wednesday and Thursday). [Travel and local commute between Ball locations and other possible non-Ball locations may be required.]
 - Hiring Salary Range: $66,000 - $92,200 (Salary to be determined by the applicant’s education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.)
 - This role will be eligible to participate in the annual incentive compensation plan.
