Primary purpose of the position:
Responsible for topics related to Employee Engagement, Office Communication and Training and Office Administrative functions. The objective of this role is to the point of contact for local office needs related to administrative functions, communication and engagement activities and to implement strategies to ensure an appropriate and engaging labor environment and good engagement level within the GSS office, as well as being in charge of administrative responsibilities such as supplier’s administration for office duties and employee engagement activities. This position also will have the contact with office vendors, coordination of office maintenance duties in partnership with Facilities and/or EHS, and possibly with governmental agencies. For local office communication and training activities, the office coordinator will be the focal point for communications and super user/change champion activities, as well as local training coordination, administration and reporting.

 

Essential Responsible Areas:

  1. Coordinate and be in charge of logistics of organizational development, Office Activities, events, campaigns, local celebrations, team building events.
  2. Keep up to date foreign employee work permits on file.
  3. Administrate the office supplies requirements for employees.
  4. Coordinates coffee break and lunch for meetings participants.
  5. Manage relations with suppliers, receive and approve office vendor invoices. 
  6. Administrate and update on-line communication board (birthdays of the month, Ball announcements, etc.). 
  7. Administrate and coordinate badges for building access, parking  and office location for employees, visitors and suppliers.
  8. Manage iOffice desk reservation system
  9. Distribute mail and physical documents to employees
  10. Support employees on travel requirements.
  11. Coordinate local change champion network for strategic roadmap projects
  12. Provide local training coordination, administration and reporting for strategic roadmap projects
  13. Maintain local and global distribution lists for communication purposes
  14. Manage translations for global communications related to roadmap projects
  15. Create and administer knowledge management in places such as BallConnect sites associated with GSS, to include strategic roadmap projects, as needed
  16. Administer surveys to monitor engagement and/or as part of project-based change management activities 
  17. Coordinate activities related to office maintenance in partnership with Facilities.
  18. Manage office housekeeping staff and ensure office spaces are well-kept, organized and maintained.
  19. Coordinate office drills and EHS compliance activities (fire drills, CO2 monitoring, etc.) in partnership with Facilities
  20. Daily time keeping management, i.e., short Friday management, when applicable.
  21. Develop local communications to employees. 
  22. Distribute mail and physical documents to employees
  23. Reports all accidents and near misses in the Environment Health and Safety system. Coordinate EHS training to the employees.
  24. Coordinate Employee Plant tours. 
  25. Ad-hoc projects
