Primary purpose of the position:
The Sr. Admin Assistant provides administrative and operational support to ensure compliance with regulatory requirements related to training documentation across all manufacturing plants in Mexico. This role is responsible for maintaining accurate training records within required government platforms, supporting plant and regional teams in meeting legal and corporate standards, and ensuring all training activities are properly documented and auditable.The position supports multiple sites while being based at one location, serving as a key point of coordination for training documentation, compliance tracking, and administrative support to the Technical Training team.
Essential Responsible Areas:
- Regulatory Compliance & System Administration
Manage and maintain training records within the required Mexican government platform, ensuring all training activities (technical, safety, quality, etc.) are accurately recorded in compliance with local regulations. - Training Documentation & Recordkeeping
Collect, validate, and upload training documentation from all supported plants, ensuring completeness, accuracy, and alignment with regulatory and corporate standards. - Cross-Site Coordination
Coordinate with plant-level teams across Mexico (3 plants) to ensure timely submission of training records, follow up on gaps, and maintain consistent compliance practices. - Audit & Compliance Support
Prepare and organize training documentation for internal and external audits, ensuring readiness and adherence to Mexican regulatory requirements. - Standards Implementation & Monitoring
Support the implementation and sustainment of training records standards, ensuring consistency and alignment with both regulatory and company expectations. - User Support & Guidance
Provide guidance to site teams on documentation requirements, processes, and use of regulatory platforms; escalate issues when needed. - Technical Training Administrative Support
Provide clerical and administrative support to the Technical Training team, including scheduling, document preparation, and coordination of training-related activities.

Position Requirement & Competencies
Education
Minimum of a High School Diploma or Master’s Degree in Technical Certificate or Associate
Skills & Knowledge required:
Demonstrated skill in attention to detail and organizational skills
Demonstrated skill in clear verbal and written communication processes.
Demonstrated skill to follow defined processes and standards with the ability to ensure audit readiness across multiple sites.
Demonstrated skill to manage routine tasks and meet deadlines
Working knowledge of Microsoft Office applications (Word, Excel, PowerPoint, etc.)
Languages
Read/write and speak proficiently in English.
Additional languages are a plus due to the global scope of the role
