Position overview:
To support the Plant Leadership Team, HRM/HRG with administration tasks. This role involves handling a variety of administrative duties, ensuring smooth daily operations, and contributing to a positive customer experience through effective management, reception and administrative support of plant/office areas.
Key responsibilities include:
Reception & Administrative Support
- Serve as the first point of contact, professionally greeting visitors, managing incoming calls, and handling mail and parcels.
- Execute daily mail distribution to relevant departments and teams.
- Maintain and organize meeting rooms, ensuring they are prepared, presentable, and adhere to a high standard of cleanliness.
- Manage the meeting room booking schedule to optimize facility use.
- Keep all noticeboards and communication systems updated with current information.
Visitor & Facility Management
- Administer the site access protocol, ensuring all visitors complete the sign-in process, receive a safety induction, and are equipped with required PPE.
- Ensure employees are provided with necessary workwear by managing the regular ordering and distribution processes in line with plant standards.
- Order standard office supplies and printed materials from approved vendors.
HR & Onboarding Support
- Facilitate the onboarding process for new hires, including preparing welcome kits, assigning lockers and badges, and delivering plant orientation materials.
- Maintain accurate employee data logs and records within the HR information system.
- Assist the HR Department with Occupational Health appointments, tracking pre-employment checks, reports, and related invoices.
- Support the organization of corporate initiatives and local events (e.g., Diversity & Inclusion, Recycling Challenge).
Operations & Documentation Support
- Provide administrative support to departments, including document translation, collecting signatures for various reports and certifications, and the archiving of defined documents.
- Collect and verify supporting documentation from Operations for the Time & Attendance (T&A) system, ensuring timely and accurate submission to HR.
- Monitor shift staffing levels and proactively assist in arranging replacements to maintain operational coverage.
- Provide secretarial support for meetings as required, including recording and distributing minutes.
Additional Duties
- Perform other administrative tasks and special projects as required by the Leadership team
What are we looking for?
- Experience in the relevant position for at least 2 years.
- Accuracy and high attention to details.
- Well organised and structured.
- Ability to handle sensitive and confidential situations and information with discretion and professionalism.
- Ability to effectively communicate with people of diverse backgrounds and employment levels within and outside an organization. Ability to engage in crucial conversations when delivery or receipt of the message content is difficult and challenging.
- Demonstrate excellent interpersonal skills to effectively communicate, empathize, and reason with people in situations that are often sensitive and stressful.
- Proven experience in an administrative, coordinator, or receptionist role.
- Excellent organizational skills with the ability to prioritize multiple tasks effectively.
- Meticulous attention to detail and a consistent record of high accuracy.
- Strong verbal and written communication skills, with a professional and customer-focused attitude.
- High level of discretion and confidentiality when handling sensitive information.
- Proficiency in MS Office Suite (Word, Excel, Outlook); experience with HRIS or T&A systems is a plus.
- Ability to work collaboratively in a team-oriented, industrial environment.
Working hours: 8:30 - 17:00
