Position overview: 

As the  Administrative Assistant you will provide administrative support in the plant and assist the Plant Manager.

 

Key responsibilities include:

•  Responsible for adhering to quality standards and legal obligations defined in the Ball management system concerning occupational safety, environment, hygiene, and quality. 

•  Coordination and monitoring of employee organizations and corporate social responsibility projects.

•  Organize travel arrangements: handle visa, ticketing, and accommodation processes.

•  Monitor and control cleaning, catering, security, and transportation services.

•  Budget and monitor office supplies and expenses: including kitchen expenses, ensuring compliance with budgets, and tracking orders.

•  Administrative management of auxiliary services: such as taxis, shuttle services, meals, security, and cleaning.

•  Provide administrative support: assist the factory manager by following and facilitating their work plan.

•  Organize visitor arrangements.

•  Manage training, meeting, and event operations.

•  Monitor onboarding processes: ensure the seamless start of new team members and prepare the onboarding kit.

•  Prepare, publish, and update monthly work schedule for the management team.

•  Organize internal and external communication for visits, audits, and necessary organizations: Ensure announcements are made through designated channels.

•  Monitor the quality, preparation, improvement, and cleanliness of meeting rooms.

•  Collect factory main reports and performance indicators on time: ensure communication follows management-determined plans.

•  Implement cost-related improvement projects: increase efficiency and reduce costs by tracking expenses related to travel, stationery, and kitchen supplies.

 

What are we looking for? 

•  University graduation in relevant fields.

•  Minimum 3 years of experience as an Executive Assistant.

•  Proficiency in English.

•  Effective interdepartmental communication skills.

•  Skills in presentation, representation, and hospitality.
