Position overview:
The Plant Admin provides administrative and operational support to multiple plant functions including Human Resources, Environment Health and Safety (EHS), Finance, Production, Quality, Engineering, and Training. The role is responsible for maintaining accurate records, coordinating communication, supporting reporting processes, and organizing plant activities. The Plant Admin ensures efficient administrative operations while contributing to a safe, compliant, and well-organized manufacturing environment.
Key responsibilities include:
- Provide administrative support across plant functions including HR, Finance, Production, Quality, Engineering, and EHS
- Maintain accurate records, documentation, and databases in compliance with company standards and policies
- Support time and attendance systems and assist with HR-related administrative processes
- Coordinate meetings, training programs, and plant-wide events including employee engagement initiatives
- Prepare reports, presentations, and communication materials for leadership and cross-functional teams
- Manage internal plant communications including noticeboards, newsletters, and required postings
- Support plant leadership with scheduling, correspondence, and coordination tasks
- Handle employee queries and direct them to appropriate stakeholders
- Ensure documentation is audit-ready and compliant with record retention and regulatory requirements
- Assist with safety documentation, training coordination, and compliance activities
- Track and update data across various plant systems including HR, safety, and production metrics
- Identify and implement improvements to administrative processes
- Collaborate with internal teams and external vendors to support day-to-day plant operations
What are we looking for:
- Minimum 3 years of experience in an administrative role supporting multiple departments or stakeholders
- Experience in manufacturing, industrial, or FMCG environment preferred
- Strong organizational, multitasking, and time management skills
- High attention to detail with ability to maintain accurate records and data
- Strong written and verbal communication skills
- Ability to manage confidential information with discretion
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Familiarity with HR systems, time and attendance tools, or ERP systems preferred
- Ability to work in a fast-paced, dynamic plant environment
- Strong problem-solving skills with proactive and improvement-focused mindset
- Ability to collaborate effectively across teams and functions
- Basic understanding of HR, finance, and safety processes
