The Plant Admin Coordinator provides essential administrative and operational support across multiple plant functions, including Training, HR, EHS, Safety, Finance, Production, Quality and Engineering. This role ensures accurate and timely management of records, reporting, and correspondence while coordinating plant events, employee celebrations, and training activities. By maintaining organized processes, facilitating communication, and supporting cross-functional teams, the administrative assistant contributes to efficient plant operations, a positive work environment, and the achievement of business objectives.
Competencies:
- Administrative & Organizational Proficiency: Strong organizational and multitasking abilities to manage tasks across multiple departments. Efficient document management, record-keeping, and filing systems. Scheduling and calendar management for plant leadership and teams. Ability to prepare reports, presentations, and correspondence accurately and on time. Attention to detail and ability to maintain accurate data across HR, payroll, safety, and production records. Coordinate plant events, employee celebrations, and training activities, ensuring smooth logistics and participation.
- Interpersonal & Communication: Strong verbal and written communication skills to interface effectively with employees, management, and external vendors. Ability to maintain confidentiality of sensitive information (HR, EHS, Finance). Customer-service mindset to support plant employees and leadership teams. Collaboration skills to coordinate with multiple departments and facilitate smooth workflow.
- Problem-Solving & Adaptability: Ability to identify administrative process gaps and suggest improvements. Adaptability to shifting priorities in a fast-paced manufacturing environment. Proactive approach to anticipating departmental needs and resolving issues efficiently. Capability to manage deadlines and competing priorities without compromising accuracy.
- Compliance & Safety Awareness: Awareness of workplace safety requirements and regulatory compliance related to plant operations. Supports processes that ensure documentation and reporting are filed and kept in compliance with records retention requirements.
Skills :
- Proficiency in office software (MS Office Suite: Word, Excel, PowerPoint, Outlook). Familiarity with time & attendance, safety tracking software, and enterprise resource planning (ERP) systems.
- Basic understanding of HR, finance, and safety processes to support accurate data entry and reporting. Ability to generate reports, track metrics, and maintain dashboards for various plant functions.

Accountabilities :
- Reliability and Accountability: Maintain confidential files, records, and databases with utmost accuracy and discretion
- Coordinates and organizes meetings, training classes, large scale events, volunteer and other plant activities; may be responsible for coordinating travel arrangements for large groups
- Communicates professionally with internal and external stakeholders and escalates employee questions and concerns to appropriate members of plant leadership team
- Maintains organized, up-to-date records and reports, and complies with company record retention requirements
- Employee’s Health Insurance and support
- Monitor and responsible for Statutory compliance of various industrial laws including labor laws, Audit compliances
- Responsible for Admin Budget preparation and admin cost control initiatives.
- Maintains plant visual communications boards, newsletters and required postings
- Manages administrative tasks for time and attendance systems, finance, EHS, and HR processes
- Identifies and implements process improvements for administrative systems
- Supports with departmental reporting, data recording and digital filing as required
- Vendor relationships for facilities management and outsourced services such as catering, transportation, cleaning, security, access control and temporary labor.
Qualifications & Experience
- Science/Commerce Graduate with Management Diploma preferred.
- Job related experience for 7 year(s) minimum in a high-level administrative role supporting multiple departments and stakeholders.
- Experience with Time & Attendance systems, Microsoft Office Suite.
- Written and Oral language proficiency in English, Hindi & Marathi (preferred)
Work Environment: This role requires on-site presence at our Taloja plant.
Hiring Range: The salary will be determined based on the candidate’s education, experience, knowledge, skills, and abilities, as well as internal equity and market benchmarks.
Incentive Plan: This position is eligible to participate in Ball’s annual incentive compensation program.
