Position Overview
As the Total Rewards Administrator you’re a key member of our Global Total Rewards team. In this role, you will provide essential coordination services to the leadership and broader department, with a primary focus on managing the departmental budget and financial activities. You will also play a key part in project coordination, process optimization, and departmental operations — ensuring smooth collaboration across functions and geographies. You will maintain close and highly responsive relationships in and outside the department, interact appropriately with various stakeholders, and maintain a positive and productive work environment to ensure success.
Your key responsibilities include:
- Coordinate the preparation of the department’s annual operating budget (~$20 million) and partner with finance to obtain budget approval
- Ensure third-party expenses are appropriately tracked, and meeting with department leadership to ensure timely and accurate budget reforecast
- Manage day-to-day financial activities, work with Accounting to identify and resolve discrepancies, and submit monthly variance reports
- Organize and ensure execution of third-party work orders, partnering with Sourcing and Accounting to establish internal purchase orders, set up new vendors in financial systems
- Responsible for accounts payable function for the department, partnering with Accounting, Shared Services, and Finance to properly code invoices
- Draft department communications, reports, and presentations.
- Lead onboarding for new hires and support departmental operations.
- Co-lead or support projects related to departmental operations, research, analyze and prepare ad hoc analyses/reports for department’s special projects
- Act as department representative for cross-functional business activities (e.g., IT, facilities, sourcing)
What we’re looking for?
- High school diploma or equivalent required
- Minimum 4 years of professional experience, ideally with financial, budgeting, or accounts payable responsibilities.
- Strong proficiency in MS Office (Word, Excel, PowerPoint).
- Solid organizational skills and attention to detail.
- Ability to work effectively across multiple geographies and time zones.
- Sound judgment, problem-solving, and process improvement mindset.
- Understanding of basic accounting, budgeting, and financial functions.
- Fluent English required
- Flexibility to occasionally work extended hours for global time zone alignment.
- Team-oriented, proactive, and comfortable in a dynamic international environment.
